Pre-Registration Closes for the AGM and Voting on October 5 at 11:59pm (This includes registration for paid up Members and Designates who will attend themselves and for Proxies who are authorized by a Member). No registration or proxy form will be accepted after Oct. 5 at 11:59pm). You must still register if you want to designate a proxy.

This is an important AGM for the lake with a number of new candidates who’ve expressed their interest in joining the Board! There have also been four motions raised by a Member and we need to hear from you on them. The community needs to speak up to ensure that the SMLCA represents each and every one of you. We can’t do that without adequate representation from our Members and we urge you to come to the virtual AGM this year, hear what’s going on and decide for yourself.

The SMLCA AGM is coming up on the evening of Wednesday, October 21. The start time is to be confirmed, however, we’re targeting 6:30 or 7:00pm. Unlike our regular in-person AGMs, we’ll be hosting a virtual AGM this year and anyone who wishes to attend the AGM/vote needs to submit their registration for the AGM before Monday, October 5 at 11:59pm. The registration form is made up of two sections; the registration and an optional proxy for those who wish to appoint one. A registration form is required for anyone attending the AGM (Member, Designate or Proxy).

Organizing, running and participating in a virtual AGM is new to all of us and the Board is working hard to encourage your participation and will help you ‘attend’ online so that you can keep up-to-date and vote for your preferred candidate(s) and motions. All the details will be sent out in advance of the AGM so that you have time to review the materials including the biographies of the new candidates and the motions. The motions cover topics such as the letters patent, surveying members prior to representing them to the Township of Georgian Bay on matters that impact Members property rights, minimum threshold of Members to call a general meeting and reinstating the mission statement.

Key Dates:

  • September 14 to October 5: Pre-registration opens for the virtual AGM. The registration form is available here: sixmilelake.net/pub/agm/2020_AGM_Pre-Registration_Form_V2.pdf
  • October 5: Pre-registration closes for the virtual AGM. All registration forms must be submitted including the optional proxy portion of the form for those who wish to designate a proxy to attend on their behalf.
  • October 13 to 16: AGM packages are emailed to all Members who have pre-registered with more details.
  • October 21: Virtual AGM using Zoom and ElectionBuddy to facilitate the meeting.

Q&A – Common Scenarios:

Co-Owners: John and Jane Smith are co-owners. Either one (but only one of the co-owners) can submit the registration form for the AGM. No member designation form or proxy is required. The form to be sent is the Registration form (the proxy portion of the registration form does not need to be completed).

Own Cottage but Want Someone Else to Vote – One Time Vote: John and Jane Smith are co-owners; however, their children Steve and Mary are the ones actively using the property. John and Jane need to submit the registration form and complete the proxy portion for either Steve or Mary to vote at the 2020 AGM. The form to be sent is the Registration form which includes the signed proxy portion. Note: The Proxyholder does not need to be a family member or an SMLCA member. It can be anyone.

Own Cottage – Taking Over the Membership: John and Jane Smith are co-owners, however, their children Steve and Mary are the ones actively using the property. John and Jane need to submit the registration form and complete the member designation form to designate the membership to either Steve or Mary. This means all communication will be provided to Steve or Mary going forward, and not John and Jane, as one of their children is assuming the Membership. The forms to be sent are the Registration form (the proxy portion of the registration form does not need to be completed) and the Member Designation Form.

Electronic Signatures: If the form comes directly from the member’s email address (with their name in their email), we’ll accept the form without a signature. Note: It must come from the Member and not the proxyholder. If the form does not come directly from the member, for example it comes from the proxy holder, it must be signed by the member.
